Self-archiving in LUCRIS

Listed here are four situations (with slightly different conditions) in which you can use self-archiving to make your publications available in full text as well as how to go about it. Do not hesitate to contact us if you have any questions regarding self-archiving.

If you own the copyright to the publication

Register it in LUCRIS and upload it as a PDF file in the registration process.

If you have signed an agreement with a publisher

If the agreement allows self-archiving, you can register your publication in LUCRIS and, at the same time, upload it as a PDF file. If the agreement does not allow self-archiving or is unclear, contact the publisher and ask for permission. Letter templates can be found on our web page about copyright.

If the publisher allows self-archiving but does not allow their published version to be used

Most major publishers do not allow their published version to be used (e.g. Elsevier, Springer). Instead, you will have to use the final approved and proofread manuscript version.

  1. Make a PDF file of the final, proofread and approved manuscript.
  2. Register it in LUCRIS and upload the file, or upload to an existing LUCRIS entry.

NB: There is a feature in LUCRIS that automatically creates a cover sheet based on the information that has been entered in the registration form.

If self-archiving is allowed, but the publisher has imposed a time limit before you can do it

Several publishers allow self-archiving after a delay of 6 or 12 months, in some cases even longer. Time limits are presented in SHERPA/RoMEO. You can specify in LUCRIS that the uploaded file be accessible after a certain date:

  1. Check SHERPA/RoMEO for the time limits of your publisher.
  2. Upload your PDF in LUCRIS using the Add electronic version (file, DOI, or link).
  3. Select Embargoed under Public access to file.
  4. Specify the date on which the time limit expires.
